FrontDeskAI

Turning the 8-hour callback cycle into a 3-second answer — so the prospect who called at 7pm books a meeting before they find your competitor.

Built because no one should need a human to book a meeting.

The phone call is the highest-intent inbound channel that exists. A prospect who calls isn't browsing — they've already decided to act. The only question is whether your system is fast enough to convert that moment, or slow enough to hand it to a competitor.

Overview

A multi-agent voice concierge that answers the phone, qualifies the caller mid-conversation, and books the meeting before they hang up — no human in the loop. Built as a state machine of small agents, with a reasoning model scoring six weighted qualification factors in real time while the call still feels like a normal conversation.

// the problem

The Qualification Engine

Aria doesn't ask a screening questionnaire. She has a conversation — and her reasoning model is scoring it in real time. Six weighted factors are embedded into Gemini 2.5 Flash's reasoning layer before the call connects: decision-maker authority (25 points), budget signals (20), timeline urgency (15), verified business email domain (15), specific use case articulation (15), and company size context (10). The caller never feels evaluated. By the time she reaches the booking step, the team already has a complete qualification picture — assembled silently, mid-call, without a single explicit screening question.

// how i built it

Invisible by Design

Aria greets naturally, listens contextually, and reasons about what to ask next based on what the caller has already said — not a script, not a decision tree. When the conversation reaches booking, she fires a live API call to Cal.com mid-call, converts raw timestamps into plain spoken English, and offers two specific time slots. The caller picks one, says their email naturally, and Aria confirms the booking before the call ends. A post-call modal pre-fills their captured data and lets them confirm budget range, timeline, team size, and service interest in seconds. One submission fires the complete automation pipeline.

// THE HONEST BIT

If I rebuilt it: I'd instrument caller sentiment from day one. We measured task completion, but "did this feel like a robot?" turned out to be the real retention metric.

3Seconds.90Seconds.ZeroMissedCalls.

FrontDesk AI is live and validated — multiple end-to-end test calls completed with real Cal.com bookings, real emails landing in real inboxes, and real Slack alerts firing to the team channel. What the system replaces isn't just the missed call — it's the entire manual intake cycle: the callback queue, the qualification conversation, the calendar back-and-forth, the briefing email the team never had time to write. Three missed qualified calls per week at a $5,000 average client value represents $780,000 in annual revenue previously absorbed by voicemail.
